Saved Audiences: Dynamic, Static, Smart

Saved audiences are your own library of lists, and the type you choose decides whether the list keeps moving.

Saved audiences are your own library of audiences. There are three sub-types:

  • Dynamic - saves your filter criteria so membership keeps moving

  • Static - saves a specific set of donors as a point-in-time snapshot

  • Smart - comes pre-ranked by likelihood for common fundraising criteria.

The one you choose depends on whether you want the list to keep changing after you save it.

Dynamic, the default

A dynamic audience saves the filter criteria themselves rather than the specific set of donors. Membership fluctuates as donor actions qualify or disqualify people from those criteria.

If you build "donors who gave in the last 90 days," that list grows as new donors give and shrinks as older gifts fall out of the 90-day window. You do not have to rebuild it, because it reflects your file as it stands every time you open it.

We recommend dynamic for anything ongoing, such as a welcome journey, a lapsed reactivation stream, or an always-on mid-level nurture.

Static, a point-in-time snapshot

A static audience saves the specific set of donors that matched your filter criteria at the moment you saved it. The list does not change.

We recommend static when you need the same people every time:

  • Running multiple follow-up campaigns to the same set of donors, so your second and third touches reach exactly who received the first.
  • Tracking behavior of a fixed group over time, so you can attribute change to your outreach rather than to churn in the list itself.
Smart, pre-ranked by likelihood to give

Smart audiences are already ranked by likelihood to give for a range of campaigns and business criteria, with the underlying business logic already applied. You choose a smart audience from a list rather than building it from filters.

They cover some of the same ground as insights, in a simpler form. A smart audience gives you a count against a set of criteria. An insight tells you the underlying business logic, flags the reason it surfaced based on different ranking criteria, and tells you the next action to take.

Saving an audience

To save an audience:

  1. Build your audience with filters until the list looks right.
  2. From the list view, click Save Audience.
  3. Give it a name your colleagues will recognize later.
  4. Choose dynamic to save the filter criteria, or static to save the current set of donors.
  5. Save. The audience appears on the Saved tab of the Audiences page.
Uploading a list from outside Dataro

You are not limited to audiences built inside Dataro. You can upload a .csv from your CRM or another external source and use it as a saved audience, which is useful for lists that live somewhere else, such as an event attendee file or a mail house return.

Go to the saved audiences area, choose Build new audience, then Upload file.

Editing, notifications, and reusing audiences
  • Saved audiences cannot be edited after saving. You can open Edit filters to see the parameters that built the audience, but to change them you create a new audience instead. This is deliberate: it means an audience you have already used in a campaign cannot change definition afterward.
  • Weekly email alerts are available on saved audiences, so you are notified when donors are added to or removed from the audience. Turn them on through Manage notifications.
  • The In audience filter lets you include or exclude members of another saved audience while building a new one. Use exists to reference any saved audience. This is how you build suppression logic, for example excluding everyone who received last month's appeal.

Frequently asked questions

Should I pick dynamic or static?

Ask whether you want the list to keep moving. If you want it to reflect your file continuously, choose dynamic. If you want the same people every time, so that follow-ups and measurement stay clean, choose static.

I need to change the filters on an audience I already saved. What now?

You create a new audience with the corrected filters. Open the original, click Edit filters to read off the parameters, then rebuild with your changes and save under a new name. The original stays intact.

How do I stop a campaign going to people who already got one?

Use the In audience filter and set it to exclude the earlier audience. Your new build then suppresses anyone in the previous list.

Can I bring in a list that was never in Dataro?

Yes. Upload it as a .csv through Build new audience, then Upload file. Once uploaded it behaves as a saved audience, so you can reference it from the In audience filter like any other.

Will I know if my dynamic audience changes size?

Only if you turn on notifications. Turn on weekly email alerts through Manage notifications and you will get a summary of donors added and removed.
