Where is my data hosted?

Dataro stores your donor data in the hosting region your organization chooses.

Where is Dataro hosted?

Dataro's platform runs on Amazon Web Services (AWS). Your organization's data is stored and processed in an AWS region, which is a group of AWS data centers in a specific geographic location. Every region is set up the same way, so the same security and data handling rules apply wherever your data is hosted.

For more on how Dataro protects your data, see Security at Dataro.

Which hosting regions are available?

Dataro offers four hosting regions:

AWS region

Approximate location

Asia Pacific (Sydney)

Sydney, Australia

Canada (Central)

Montreal, Canada

US East (Ohio)

Ohio, United States

Europe (London)

London, United Kingdom

How is my hosting region chosen?

Your organization chooses its hosting region during the sales process, before onboarding begins. You can choose any of the four regions. We recommend choosing the region that best matches your organization's data residency requirements (e.g. a policy that requires donor data to be stored in Canada).

If your organization has specific data residency requirements, raise them with your Dataro sales representative as early as possible. This means your account can be set up in the right region from the start.

Can I move my data to a different region?

Yes. If your organization already uses Dataro and needs to move to a different hosting region, contact your Customer Success Manager. Our team will move your account and data to the new region.

Moving regions is a manual process, so it takes some time to schedule and complete. If your organization uses a more complex integration, such as an SFTP integration, the move may take longer.

Does my data ever leave my hosting region?

Your raw CRM data, and any donor-level or gift-level data, stays within your hosting region. This includes your donors' contact details and giving history.

Some information that Dataro needs to run the platform is stored in a central application database, which is copied to all four regions. This database does not hold donor names, donor contact details, or individual gift records. It holds:

  • Dataro user details: the names, email addresses, roles, and activity of people at your organization who log in to Dataro.

  • Account settings: your organization's settings, CRM integration setup, and model settings.

  • Aggregated statistics: dashboard figures, benchmarks, and Model Performance results. These are summaries with no donor-level detail.

  • CRM record IDs: contact IDs used for features such as exclusion lists. These IDs do not include names or contact details.

What happens when I use Dataro from another country?

Where your data is stored does not change when you travel. However, when you open Dataro, the information you view is sent from your hosting region to your browser.

If you log in from outside your hosting region, Dataro may route that traffic through AWS servers closer to you so the app loads quickly. For example, if your organization is hosted in Europe (London) and you log in while traveling in Australia, the app may be served through Sydney. Your data passes through those servers to reach you, but it is not stored there.

Does Dataro send data to third-party services?

Some Dataro features use third-party services, which may process limited data outside your hosting region.

  • ProspectAI: If your organization uses ProspectAI, the names and basic details of the prospects you research are sent to third-party AI providers and web search services to build each prospect report. ProspectAI does not send prospect email addresses, phone numbers, or giving history. ProspectAI requests are also logged with a monitoring service hosted in the EU.

  • AI features in Audience Builder: The AI chat in Audience Builder and AI-generated descriptions for saved lists send only the request you type and your filter settings to a third-party AI provider. No donor data is sent.

  • Usage and error tracking: Dataro uses analytics and error monitoring tools to understand how the app is used and to fix problems. These tools receive information about app usage and any errors that occur.

Note: If your organization has questions about data residency that this article does not answer, contact your Customer Success Manager.
